  • Details about interest in CAS (for example, volunteers’ or Friends of CAS interest in certain activity, Associate Artists interest in specific areas of art and projects, etc)
  • Category of contact (for example, trustee, Friend of CAS, CAS Associate, etc)
  • Any information which is necessary for us to process in conjunction with the project or service we offer (for example, health conditions in relation to social prescribing projects, relevant individual background information necessary for safeguarding purposes, referral information from social care or the NHS).
  • DBS information in relation to staff, volunteers, contractors and any other representatives of CAS who may work with children or vulnerable adults.
  • Employee data necessary for the efficient running of the business
  • Website analytics data such as Google Analytics which collates IP addresses and cookie identifiers.
  • Financial information for the purchase of products via the website or by phone.


How we get the personal information and why we have it


Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • Communication with you via our newsletters and social media
  • Processing ticket and product sales
  • Informing you of our latest programmes and events
  • To help us target our communications with you so you don’t get overwhelmed by irrelevant information
  • To ensure you are eligible for a service or to participate in a programme and to keep you safe
  • To keep service users safe
  • To continually develop our service offer and make it relevant to our target audience


We also receive personal information indirectly, from the following sources in the following scenarios:

  • Partner organisations with whom we collaborate on projects.


We use the information that you have given us in order to offer you an effective and efficient service and ensure the best outcomes. For example, we would ensure that your health needs are considered as part of our programmes or you receive a more targeted and efficient service. 


We may share this information with our partners who collaborate in projects you participate in.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

How we store your personal information 


Your information is securely stored in a lockable filing cabinet at St Mary’s Chapel, New Street, Andover SP10 1DR or via our cloud filing system. Access is strictly restricted to staff only and only those who need to have access to the data for the stated purpose above receive access to the information. 


We keep general contact information for no longer than 24 months before re-confirming your consent. Any more specific health or other sensitive information will be deleted following each project/ programme which you participate in. Financial information will be kept for 30 days after your purchase. We will then dispose of your information by physically disposing your data securely or deleting it from our cloud files.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
